In Found, you can control who can access and interact with the billing module using Global User Permissions. There are three default billing access levels:
- Full Access
- Reduced Access
- No Access
These permissions ensure the right team members have the appropriate level of access and control. While users with Full Access can interact with all billing features, those with Reduced or No Access have limited capabilities but can be customised to meet your group's requirements and configuration.
Customising permissions
To customise user billing permissions:
- Navigate to the Settings & Tools tab.
- Click on Billing Settings.
- Select User Permissions.
- Adjust the permission levels as needed for each user.
- Click Save Changes to confirm and apply your updates.
Reduced access user permissions
Users with Reduced Access to billing can perform a limited set of tasks related to resident finances and documentation. This is suitable for team members who contribute to billing processes but do not need full control e.g. Home Managers.
Access | Description |
Assign billable extra to residents | Add billable extras along with editing and deleting billable extras for residents where the item is marked as Incomplete or Scheduled. |
Allocate one-to-one care to residents | Add one-to-one care logs along with editing and deleting one-to-one care logs for residents where the item is marked as Incomplete. |
Manage petty cash for residents | Deposit, withdraw, or delete petty cash transactions linked to a resident’s profile. |
Create and manage pro-forma invoices, including adjustments to pro-forma care fees | Generate and issue pro-forma invoices to fee payers. Add line items or adjust care fee days within pro-forma invoices. |
Add or edit a fee payer or annuity | Add, edit, or archive fee payer or annuity profiles linked to a resident profile. |
No access user permissions
Users with No Access to the billing module cannot view or manage billing features, with one key exception:

Add or edit a fee payer or annuity | Even with No Access, you can grant users the ability to add, edit, or archive fee payer or annuity profiles for residents. |
