Adding a billable extra to a resident profile

Billable extras can be associated with a resident's profile when additional, non-standard services are provided within the home. These charges should be added promptly to the resident's profile to support accurate record-keeping and financial tracking.


What is a billable extra?

A billable extra is any additional service offered by the care home that is not included in a resident's standard care package and is charged separately.

Examples include:

  • Hairdressing

  • Chiropody

  • Massages

  • Taxi rides

How to add a billable extra to a resident profile?

You can add a billable extra in one of two ways:

Option 1: via the resident profile

  1. Navigate to the Resident Profile.

  2. Go to the Billing tab.

  3. Select the Billable Extras tab.

  4. Click Add Billable Extra.

  5. Complete the form by populating the fields below:

Option 2: via the billable extras table

  1. Navigate to the Billable Extras table.

  2. Select a location, entity, or view all.

  3. Click Add Billable Extra (yellow plus sign).

  4. Complete the form by populating the fields below:


Field
Description
Choose a booking
Select the booking the billable extra should be associated with.
Billable extra
Select the relevant billable extra from the drop-down list.
Amount due
Enter the amount to be charged. If a fixed price exists, it will auto-fill.
Purchase date
Enter the date the billable extra was provided. This will show on the invoice.
Notes
Optional free text for internal use only. 


Payment options

Once the add billable extra form is completed, select one of the following payment methods:

Option
Description
Automatically add to scheduled invoice
The billable extra will have the status Scheduled and will be included in the next billing cycle.
Mark as complete
The billable extra will be marked Complete. Use this if the charge was paid or invoiced outside of Found.
Pay with petty cash and mark as complete
The billable extra will be marked Complete and reflected in the resident’s Petty Cash Ledger.


Once selected, click Add Billable Extra. The entry will then appear in the Billable Extras table and be available for review and invoicing.


Billable extra status

Each billable extra is assigned a status, which helps you monitor its progress throughout the billing process.


Status
Description
Incomplete
The billable extra has been created but has not been attached to either an invoice or a credit note.
Complete
The billable extra has been attached to either an invoice or a credit note or has been paid for either by petty cash or outside of the product
Scheduled
The billable extra is scheduled and will be picked up in the next billing cycle for the fee payer marked solely liable for billable extras.
Refunded
The billable extra has been refunded, and an additional negative value billable extra has been created, ready to be attached to either an invoice or a credit note.
