What are offsite discounts?
Offsite care fee discounts refer to percentage-based reductions applied when a resident is away from the care home—such as during hospital stays, absences, or suspensions. These discounts are triggered after the resident is marked as returned and will appear as an additional negative line item in the next billing cycle.
You can set offsite discount rules at two levels:
- Company Fee Payers: Set at an individual company fee payer level
- Private Fee Payers: Set globally and apply to all private fee payers.
Use case example
Scenario: Margaret, a privately funded resident at Lottie Care Home, is away in hospital for 10 days. Her daughter, Susan, is the fee payer.
Configuration: Lottie Care Home has a global offsite discount rule for private fee payers:
- If a resident is away for 7 days or more due to a Hospital Stay,
- A 25% discount will be applied to the resident's weekly fee.
Outcome: Once Margaret returns and is marked as onsite again within her resident profile, the product recognises she was offsite for 10 days.
A 25% discount is automatically applied to her weekly fee for the 3 days beyond the 7-day threshold, and this appears as a negative line item in Susan’s next invoice.
How to create offsite discount rules
Company Fee Payers
- Go to the Billing tab in the sidebar.
- Select the Company Fee Payer tab
- Choose the relevant Company Fee Payer, or create a new one if it doesn’t exist yet.
- Click Edit to open the configuration view.
- Scroll down to the Offsite Care Fee Discounts section
- Select the reasons the discount will apply if the resident is offsite
- Define the number of days the resident needs to be out of the home before the discount can be applied
- Define the percentage discount that will be applied to the fee payers' weekly contribution after they have been out of the home.
- Once finished, click Save & Close.
Private Fee Payers
- Go to the Settings & Tools tab in the sidebar
- Select Billing Settings
- Select Private Fee Payer Offsite Care Fee Discounts
- Select the reasons the discount will apply if the resident is offsite
- Define the number of days the resident needs to be out of the home before the discount can be applied
- Define the percentage discount that will be applied to fee payers' weekly contribution after they have been out of the home.
- Once finished, click Save Changes
Key Notes
- Offsite discounts are automatically calculated once conditions are met.
- The discount will display as a negative line item on the next financial document.
- Offsite discounts help align billing with actual care provision and reduce manual corrections.
