In Found, financial documents can be voided up until they are marked as exported.
Voiding a financial document permanently cancels it and removes it from the billing history of the fee payer. This action should only be taken in specific scenarios where the invoice should never have existed.
Unlike issuing a credit note - which maintains an audit trail by reversing a charge, voiding removes the document from the product calculations and renders it inactive. The voided document will continue to retain its reference number, which will be marked as “cancelled” in Found but will appear as a missing reference if not imported into your accounting software.
How to void
Navigate to the relevant financial document.
Click Void
Confirm you want to void the financial document
Once the financial document is voided, a "VOID" watermark will be applied to the document, and its status will be updated to "Cancelled."
Key considerations
Voiding is irreversible. Once voided, a financial document cannot be unvoided
Only financial documents that have not been exported and are in an unlocked state can be voided. If a document has already been marked as exported, you must first unlock it before it can be voided.
Voiding a financial document can have an impact on your audit, as it creates a missing financial document number in your accounting system if the document was not exported. Consider how this may impact audits and reconciliations.
