Once a pro-forma invoice has been created, it can be converted into a formal invoice when you are ready to do so. This functionality supports both individual conversions and bulk conversions depending on operational needs.
Note: Pro-forma invoices cannot be converted if the associated Fee Payer profile is incomplete.
Method 1: Individual conversion
This method is recommended when converting a single pro-forma invoice.
Steps:
- Navigate to the relevant Pro-Forma Invoice.
- Click the Convert button located at the top of the page.
- Define the Issue Date for the invoice. You will be given four options to choose from.
- Click Convert to confirm.
Once converted:
- The invoice will be accessible via the Resident Profile in the Invoices and Credit Notes table.
- A direct link to the invoice will also appear in the timeline of the original pro-forma invoice.
Method 2: Bulk conversion
This method is recommended for converting multiple pro-forma invoices at once.
Note: Pro-forma invoices that have already been converted, or those linked to Fee Payers with incomplete profiles, cannot be included in bulk conversions.
Steps:
- Navigate to the Billing tab.
- Select View Pro-Forma Invoices.
- Use the checkboxes to select the pro-forma invoices you wish to convert. You can:
- Select individual invoices manually, or
- Use the Select All button in the top-right corner of the table.
- Click Convert.
- Define the Issue Date using one of the four available options.
- Click Convert to complete the process.
Once converted:
- All resulting invoices will be available in the Invoices and Credit Notes table for each resident.
